Run home collection without losing a tube
Scheduling by real travel time, live phlebotomist tracking, a barcoded record for every tube, and results that flow into the HIS you already run. Built for hospitals — not rented from a lab chain.
No card, no commitment. We show you the dispatch board with your own zones in it.
The service usually fails in four familiar places
Not because anyone is careless. Because a WhatsApp group, a register and a spreadsheet cannot tell you where a tube is at 11am.
Samples that never arrive
A tube goes home in a bag and is found the next day. The patient is pricked twice, the hospital eats the cost, and nobody can say where it went.
Slots you cannot keep
Nine bookings at 7am across the city, all promised to patients. The phlebotomist reaches four. Everyone else rings the front desk.
Cash you cannot trace
Money collected at doors, handed in days later, reconciled from memory. Short deposits are found at month end, if at all.
Double data entry
Patient keyed into a booking sheet, again into the HIS, again into the lab system. Three chances to mistype a UHID.
Everything the service actually needs, in one system
Three logins — Caresoft, the hospital, and the phlebotomist's phone. Nothing else to buy.
Scheduling by real travel time
Slots are offered against where the phlebotomist will actually be, not against a wishful grid on a wall.
- Auto-assign ranks staff by travel time, load, zone and skill
- Route optimisation with cumulative ETAs
- Flags stops it cannot reach before the day starts
- Works with no maps key at all, or OSRM, or Google
A record for every tube
Barcoded at the point of draw, scanned into the bag, scanned out at the bench. Chain of custody is a table, not a memory.
- 16-digit Code128 barcode generated at the door
- Handover scan reports missing and extra tubes on the spot
- Stability windows per sample type, with at-risk alerts
- Rejection and free recollection, linked to the original order
Live tracking, honestly done
The coordinator sees where everyone is. The patient gets a duration, not a map of your employee.
- Live map with zones, staff and stop status
- Patient tracking link — status and ETA, no coordinates
- Tracking runs only while on duty, with a visible notification
- Mock locations are flagged, never silently dropped
Cash you can actually reconcile
Every rupee has a name against it until somebody counts the notes.
- Cash, UPI and card at the door, with sequential receipts
- Declaring is not depositing — the counter verifies separately
- Short counts need a written reason before they are accepted
- Outstanding cash sorted by age, not amount
A phlebotomist app that works offline
A basement flat with no signal should not lose a morning's work.
- Every action queued on the phone and synced when signal returns
- Vial checklist grouped by cap colour, not by test code
- Door OTP before the draw — proof it was the right patient
- Sign-off blocked while tubes are still in the bag
Reports that hold up
Medians, not averages. One sample left overnight should not flatter a month.
- TAT from booking to draw, and draw to bench
- Slot adherence, first-attempt success, failure reasons
- Rejection analysis by person and by tube type
- Revenue, zone heat and productivity — CSV throughout
Into the system you already run
Nobody keys the same patient twice.
- Caresoft HIS connector — orders in, results back, barcode shared
- Patient identified by ptype / pno / pyr, the key HIS really uses
- Nothing pushed for an unmapped test — it waits on a worklist
- Runs outbound only; no firewall change, no VPN, no static IP
Multi-branch, white-labelled
Your name on it, your subdomain, your prices.
- Branches, zones by pincode / polygon / radius, per-branch slots
- Your own test catalogue and pricing, with a change log
- Patient books from a WhatsApp link — no app, no login
- Role-based access down to the individual screen
An API for your partners
For aggregators, corporates and clinics who want to book into you.
- Versioned REST API with scoped credentials
- Signed webhooks on every status change
- Sandbox that never touches your live dispatch board
- Their reference makes a retry safe, not a second visit
From booking to the bench, with a record at every step
The patient books
From a WhatsApp link, your website, the front desk, or straight from an order raised inside your HIS. Serviceability and price are checked against your real zones before a slot is offered.
The system assigns
Ranked by travel time from the last stop, current load, zone coverage and shift fit — with the reasoning shown, so a coordinator can overrule it and know what they are overruling.
The phlebotomist sets off
Route on the phone, tubes grouped by cap colour, fasting flagged before they knock. The patient sees status and a duration.
The draw, against a code
The patient reads out their door code. Only then does the app issue barcodes — so an unlabelled tube never leaves the house. Payment and receipt happen at the door.
Handover at the bench
Every tube scanned in. Missing and extra are reported while the phlebotomist is still standing there and can go and look.
Results back, cash in
Results flow from your lab and HIS to the patient. The cash collected stays against the collector's name until the counter counts it.
Built for the hospital that owns the patient
Most home-collection software is a lab chain's app with your logo on it. The patient ends up belonging to them. This one does not work that way.
Multi-speciality hospitals
Extend your own lab to the patient's home, keep the revenue and the relationship, and see it on the same dashboard as everything else.
Diagnostic chains
Many branches, many zones, one dispatch view — with per-branch pricing and per-branch slot capacity.
Nursing homes & clinics
Start with two phlebotomists and a pincode list. Nothing to install and nothing that needs an IT team.
Aggregators & corporates
Book into a hospital's collection service through the API, with signed callbacks on every status change.
It plugs in, and it does not ask for your firewall
Caresoft HIS, natively
A small connector sits beside your HIS database and polls outbound over HTTPS. Orders raised in HIS appear on the board; collected samples and results flow back. No VPN, no inbound port, no network project.
Other HIS and LIS
A documented REST API with scoped credentials and signed webhooks. If your system can make an HTTPS call, it can book, track and receive results.
Security you can put in a tender
Caresoft holds CMMI Level 5, ISO 27001 and PCI DSS. Role-based access, a full audit trail per record, encrypted credentials on the handset, and data residency in India.
Not a first attempt at hospital software
CareCollect is built by Caresoft Systems, which has run hospital information systems for two decades without outside money.
Questions a decision-maker asks
How long does it take to go live?
Two to three weeks for a single branch. Most of that is your data — zones and pincodes, the test catalogue with your prices, slot templates and your phlebotomist list. The software itself is ready on day one; a subdomain is issued in minutes.
Will it work with our existing HIS or LIS?
With Caresoft HIS it is a native connector — orders in, results back, and our barcode is accepted as the lab barcode so nobody relabels a tube at the bench. With any other system there is a documented REST API and signed webhooks. If it can make an HTTPS call, it can integrate.
Do we need to open a port or set up a VPN?
No. The connector sits next to your HIS database and only makes outbound HTTPS calls, which every hospital network already permits. There is no firewall change and no static IP.
What happens where there is no mobile signal?
The phlebotomist app records everything on the phone first and syncs when signal returns, so a basement flat does not cost you a morning's work. Three things are deliberately kept online — the door OTP, issuing barcodes and the handover scan — because each is only meaningful if the server confirms it while the person is still standing there. The app says so plainly rather than failing silently.
How is this different from using a lab chain's app?
A lab chain's app makes the patient theirs. This runs under your name, on your subdomain, with your prices and your catalogue, and the patient record stays in your HIS. You are extending your own lab, not renting someone else's.
Can we track the cash our phlebotomists collect?
Yes, and the design assumes it matters. Every payment gets a sequential receipt and stays against the collector's name until someone physically counts the notes. Declaring a deposit and depositing it are two separate steps, a short count cannot be accepted without a written reason, and outstanding cash is sorted by how long someone has been carrying it rather than by how much.
What does it cost?
Priced per hospital, on collection volume rather than per user, so adding a coordinator does not cost you anything. Tell us your bed count and roughly how many home collections you do a month and we will give you a number in the first call — not after three meetings.
Can we start with one branch?
That is the usual way. One branch, two or three phlebotomists, a handful of pincodes. Branches, zones and staff are added from the console when you are ready, without a migration.
Who owns the data?
You do. It is your hospital's data, held in India, exportable as CSV from every report screen, and available in full through the API. Caresoft holds ISO 27001 and PCI DSS, and there is a per-record audit trail.
Questions your patients ask
These appear on the booking page your patients see, so nobody rings your front desk to ask them.
How much does home blood sample collection cost?
The tests cost the same as at the hospital. A home visit charge is added, usually between 100 and 200 rupees, and most hospitals waive it above a certain order value.
Is a home-collected sample as reliable as one taken at the lab?
Yes, provided the tube reaches the lab inside its stability window. That window is only a few hours for some tests, which is why a good service tracks the time from draw to bench and flags anything running late.
How long does a home collection take?
About ten minutes at the door. Reports follow the lab's usual turnaround, most commonly the same evening or the next morning.
Do I need to fast before the test?
Only for some tests, such as fasting sugar and lipid profile. You are told when you book and reminded the evening before. Water is always fine.
Home collection software for hospitals across India
Caresoft supports hospitals in every state and in 12+ countries. Zones are defined by your own pincodes, so coverage is whatever your phlebotomists can actually reach — never a claim on a map.
Also deployed with hospital groups across Africa, the Middle East and South-East Asia.
